Add an author

Watch our short video on how to invite authors to a review.

Log in to the RevMan portfolio and project management tool as a unit lead or organization administrator.

On the unit portfolio page, select the three dots to the right of the review title. Select Add author.

On the invitation screen, if the person has no existing roles in your review portfolio, select Invite by email. Add name and email address and click Send invitation. The person will receive an email inviting them to log in. They will need a Cochrane Account and subscription to RevMan to be able to edit your review

See how to access Cochrane RevMan for the first time if you are:

If the person has another role in your organization already, select Add known user. Search by name or email address and click Add known user. The person will not receive an email, but the role will be available to select the next time they log in. See Switch between roles.

To see someone's role, enable the access view and click on their name.

Remove an author

On the unit portfolio page, locate the relevant review. Ensure the Access view is switched on, then click the next to an author's name to remove the person's role.

Change Contact Person

When you create a review, you will be listed as the first author and Contact Person. See Add a new review

On the unit portfolio page, select the three dots to the right of the review title. Select Change Contact Person. This option will only be visible if you have added at least one other author.

Select an author from the dropdown menu as the new Contact Person. You will be able to select users who are already authors on the review. Save.

Please note: changes you make to your Cochrane RevMan Portfolio (such as changes to units, roles or reviews) will show immediately in your browser. However, if you have another tab open or changes are made by another user, you may have to refresh the page to see those changes.

Author byline management

For Cochrane reviews not using RevMan portfolio and project management features, changes to the author order can only be made by editorial staff and the Cochrane Support Team.

For Cochrane reviews using RevMan portfolio and project management features changes to the author order can also be made by the authors.

Organization administrators, unit leads and authors can manage the author byline directly in RevMan. From the left-hand menu, go to About this review > Authors

The authors who have been added in the Portfolio management system will appear in the Authors panel in RevMan. Clicking the down arrow opens an author's contact details, affiliations and footnotes.

The Authors panel includes the Affiliations and Footnotes sections, listing the relevant information that has been added for each author.

Organization administrators, unit leads and authors can add and edit authors’ affiliations.

Open the relevant author’s details panel by clicking on the corresponding down-facing arrow, then select Add affiliation or Edit affiliation, as required.

Author order and author support

Organization administrators, unit leads and authors have permission to modify the author order. Click on the Action button and select Move Up or Move Down as needed. People who have contributed in an author support role can be moved to the Author support panel. To do so, select Move to Author support.

The person will move from the Authors panel to the Author support panel underneath.

Both panels maintain information on affiliations and footnotes, but only the Authors panel includes the Affiliation and Footnotes sections.

Only authors are credited in the byline.

Please note that changes made to the review by a person with an author support role will be indicated in the review History panel by "Version created by".

Both the author and the author support roles grant access to the review and list the review under 'My reviews'.

In 'My reviews', you will find the reviews listed under Reviews I'm authoring if you have an author role, or Reviews I'm supporting if you have an author support role.

Attributions

If the author team want to credit a person or a group who doesn’t have a Cochrane account in the byline, organization administrators and unit leads can do so by clicking Add Attribution at the top of the Authors panel.

Person and group attributions should only be used under very specific circumstances, and don’t grant access to the review. Information about when to use these options is shown when adding the attribution.

Select either Person attribution or Group attribution, as required, and fill in the relevant details. Unlike authors’ contact details, the name and the email address are editable in RevMan rather than in the Portfolio management system.

When finished, click Back to Authors.

Like authors, person and group attributions can be ordered in the Authors panel and maintain and display information on affiliations and footnotes.
