❗ All review notes will be deleted irreversibly during this operation - user should have been offered the opportunity to Download review notes archive in advance

❗ All document roles other than Authors and Contact Person will be removed during this operation

❗❗❗ Archie will not warn you about the above two points until the operation has started - take care. ❗❗❗

  1. To move reviews from Archie to RevMan (Porto), go to Admin → Tools → Move review to Porto.
    You can move:
    1. A single review
    2. All reviews previously selected on the Resources tab
    3. All reviews for a specified group
  2. Ensure you have selected the correct Porto Unit, then select 'Move'
  3. Reviews are not moved instantly, so there is a progress indicator. A report is generated once the operation has completed, which should be checked to ensure no reviews failed to be moved.
  4. Reviews will show in the 'Porto Reviews' group in Archie once moved. KNOWN ISSUE - until user logs out/in, reviews can show in both the original Archie group and the 'Porto Reviews' group simulatiously.
  5. Send the Excel report to the unit leads so that they are aware of which titles were moved/not moved.

Reviews cannot easily be moved back to Archie once moved to Porto.

Projects for the moved reviews will be configured in Porto according to the following rules:

  1. If there is an invitation to submit to EM and the Archie review status is "Active":
    1. There will be an in-progress project with a default template for the "Protocol" or "Review/update" project type, depending on the review stage
  2. If the Archie review status is "Withdrawn", or if there is no invitation to submit to EM, the Archie review status is "Active", and the review was never published at "Full review" stage:
    1. No project or lifecycle assessments are created
  3. Otherwise (Archie review status is "Active", there is no invitation to submit, and the review was previously published at "Full review" stage), a lifecycle assessment decision will be added to the decision log depending on the review's current update status. Unless otherwise stated, the "Reason" is set to the Archie "Rationale", and the decision date is the date of the most recent assessment in Archie.
    1. For Archie status: "No Update Status": "ASSESS_BY" decision with "assess by" date of 1 year after publication. Decision date is the date of publication. Reason "Re-assess within 1 year of publication"
    2. For Archie status:"Up to date" with rationale "Certainty of evidence high in published version": "NEVER_ASSESS" decision.
    3. For Archie status:"Up to date" with any other rationale: "ASSESS_BY" decision with "assess by" date equal to the Archie "assess by" date (or 1 year after previous assessment date if none).
    4. For Archie status:"Update pending" with rationale "Studies awaiting assessment" - "ASSESS_BY" with "assess by" date equal to the Archie "assess by" date (or 1 year after previous assessment date if none).
    5. For Archie status:"Update pending" with rationale "Authors currently updating" - start a project as for an open EM invitation
    6. For Archie status:"Update pending" with any other rationale - create a pending project with type based on review stage as for an open EM invitation
    7. For Archie status:"No update planned" with rationale "Impact of published version" - "ASSESS_BY" with "assess by" date equal to the Archie "assess by" date (or 1 year after previous assessment date if none).
    8. For Archie status:"No update planned" with any other rationale - "NEVER_ASSESS" decision.
