Standardized workflow for study references

What business value does this roadmap item create? / Which problem is this roadmap item trying to solve?

Study references can currently enter Cochrane reviews in myriad ways. This creates issues of data quality and duplication of effort. The project (9 - Standardized workflow for study references PID RevMan and CRS only) this roadmap item supports aims to create a standardized workflow that eliminates these issues.

How can the value delivered be measured?

  1. Reduced time spent by authors on reference management.
  2. Reduced time spent on copy editing.
  3. Reduced amount of low-quality reference data entering CRS.

Which assumptions are made in relation to the value?

  • Authors and information specialists will be able to effectively collaborate in the new process
  • The new process will be widely adopted (voluntary or mandatory)
  • Quality of the reference data delivered is sufficient that copy-editing of the references is not required

What are the dependencies for fulfilling the business value?

  • CRS development items are completed
  • Rollout of the new process to review groups

What are the risks related to this roadmap item?

  • Could slow down the process for adding references identified through secondary sources to reviews (e.g. scanning references of other primary studies)

What is included in the scope of this solution?

  1. Study references managed in CRS (Note: we developed but never released similar functionality for Covidence):
    • Review can't be checked out to RevMan 5
    • Study references can't be added, removed, modified, or attached to studies other than via the CRS
    • Studies can't be added or removed other than via the CRS (TBC: editing of "General" study information?)
    • Studies can be moved between categories (Included, Excluded, etc.) and data specific to RMW can be entered
  2. Relay the fact that references for a specific review originated in the CRS and do not need copy-editing to the copy-editor in EM/PM (related: RMW-2275 - Getting issue details... STATUS )
  3. (Likely CRS, not RMW) Allow the "last accessed date" to be set per-review for web-style references (e.g. Clinical Study Reports)
  4. (CRS and/or RMW changes) Keep study and reference information in RMW up-to-date as it is edited in the CRS
