Portfolio management

PortfolioA collection of reviews that is managed by the same group of people.
Lifecycle management

The process of periodically assessing the status of reviews in the portfolio.

A lifecycle assessment results in one of four decisions:

  1. In progress: Start a project immediately (e.g. to update the review)
  2. Not started: Plan to start a project later.
  3. Assessment due: Do not start a project and assess again by a specific date.
  4. Complete: Do not start a project and never assess again.
Project

Formal record of an activity taking place on a review (e.g. protocol development). A review is considered “active/in progress” only if a project is ongoing. Only active reviews can be edited.

Milestone

A significant stage or event during a project.

Milestone progress is displayed in the portfolio view and in the Milestones and tasks panel in RevMan. The number of milestones is fixed at the organization level to enable uniform reporting across all projects. Milestones cannot be added or removed within projects.

Milestones can be:

  • Open (blu)
  • Due (amber)
  • Overdue (red)
  • Complete (green)
  • Not applicable (gray)

Milestones have default due dates which can be adjusted as needed on a per-project basis. Reporting is available to compare current due dates to the default.  Milestones can optionally be assigned to a review author.

Project typeA project type represents the type of activity that is taking place. A project type determines the name and default due date of each milestone. It can also designate milestones as “not applicable”. Project types are displayed on the portfolio view.
TaskTasks represent units of work within a project. Each task belongs to a specific milestone and can have a due date and be assigned to a review author. Tasks can be added, removed, and reordered as needed during a project. Tasks are not displayed on the portfolio view but are displayed in the Milestones and tasks panel in RevMan.
Project templateTracks important decisions across the life of a review, such as lifecycle assessment, opening and closing of projects, key editorial decisions, and publication.

Editorial status

The portfolio view includes an editorial status indicator, which can be one of:

  • with authors
  • with editors
  • being prepared for publication 

Units and organizations

UnitA group of people as well as the portfolio of reviews they manage. 
Unit leadUser who manages a unit portfolio.
OrganizationSeveral units that are managed together by the organization’s administrators.
Organization administratorUser who manages an organization's settings and units.

Subscriptions

Organizational subscriptionA subscription that entitles an organization to a limited or unlimited number of active users as well as an “organization” in the system.
Individual subscriptionA subscription that entitles an individual to manage a portfolio of reviews within their private “unit” in the system. Individuals can collaborate with others on reviews, but all participants require individual subscriptions.
Sponsored subscriptionAn individual subscription that is being sponsored by an organization. The organization has no control over the individual’s portfolio.
