Key points

  • Licence for Publication (LfP forms) are managed in production by Cochrane Support.
  • You do not need to take any action for LfP forms other than:
    • If authors contact you with an LfP choice before or after acceptance, please CC. support@cochrane.org when responding.
    • You may also add a note to the Production Notes if you wish.

LfP types

Green and Gold open access

The default Licence for publication type for all submissions in Editorial Manager is Green Open Access.

If authors and/or funders need the full article to be free to view immediately after publication they should select a Gold Open Access licence type. Either the authors or their funders must pay an Article Publication Charge (APC). See our Gold open access policy.

Green Open Access for Cochrane Reviews provides free access to the full article 12 months after publication or on publication (protocols for Cochrane Reviews).

Authors confirm LfP type

Authors are asked to select the correct LfP type when the submission enters production (after acceptance). Cochrane Support will contact the authors.

When the author responds, Cochrane Support will take the following steps:

  • Set the correct LfP type on the Manuscript details
  • Contact David Hives at Wiley if the authors have selected a Gold OA licence
  • Trigger LfP forms to be sent to authors

LfP reminders

  • The LfP system sends automated reminders every 7 days to authors who have not completed their forms. 
  • If the final proofread is complete and forms are outstanding, Cochrane Support may ask you to contact the authors.

Complete an LfP form on behalf of an author

In certain circumstances it is acceptable to submit an LfP form on an author's behalf. See Submitting forms on behalf of an author.

Correspondence with the author/other members of the author team explaining the reasons why the author is unable to sign, should be saved on the submission File Inventory in EM. 

Access the relevant form in the LfP system via the link in the Manuscript details. Click on the name of the relevant author to open the form.




Scroll down to the bottom of the form to the Acceptance of Licence for Publication section.

  • Tick to accept the Licence for Publication on behalf of the author.

Add the author's name.

Add a note to give the reason the author was unable to submit the form.

Submit.
