You can assign roles in two ways: from a person's Properties, and from the role's entry in the Resources tree. Only users with Maximum permission level for persons (such as Super Users) can assign roles.      

  • Use the Roles tab on a contact's record properties to assign one or more role to a single person, or to edit an existing role.
  • Use the role's Resources tree entry to assign the same role to a number of people.

Assign a role from a contact record

  1. Go to the Roles tab.
  2. Click Add. This opens the Group Role window.
  3. If you have permissions for assigning roles in more than one group, select the relevant group from the pull-down list.
  4. Select the relevant role from the Role pull-down list.
  5. If you wish to add additional information about this particular person's role, type this in the Role Specification field.
  6. Click OK.

 

Edit a role from a contact record

  1. Go to the Roles tab.
  2. Select the role to be edited.
  3. Click Edit.
  4. Select the relevant role from the Role pull-down list.
  5. If you wish to add additional information about this particular person's role, type this in the Role Specification field.
  6. Click OK.

Assign a role to a person from the resources tree

  1. Locate the role in the group's People folder in the Resources tree.
  2. Right click the role name, and choose Assign Role to > Person. The Assign to Person window opens.
  3.  Click the  button to find the person you wish to assign. See Choosing a person or date.
  4. If you wish to record additional information about this particular person's role, type this in the Specification field.
  5. Click OK.

Assign a role to multiple people

  1. Add the relevant persons to your Selection. See About search and Search results for more information.
  2. Locate the role in the group's People folder in the Resources tree.
  3. Right click the role name, and choose Assign Role to > Selection.
  4. If you wish to record additional information about these persons' roles, type this in the Specification field.
  5. Click OK. The role is assigned to all the selected persons, with the exception of any who already had the role.
  6. Click Close.

Removing roles

A person must have a least one role, so you will get an error message if you try to remove a person's last role.

In this case, you should request a role for the contact within the Membership Project in order to remove your group role. The role of Possible Contributor within the Membership Project grants no Archie permissions but retains the person’s Cochrane account.

Use the Suggest Changes function in Archie to request that this role is added to the contact's record, and your group role removed.  

To remove a role from a person's Properties

  1. Go to the Roles tab.
  2. Click the role, and then click Delete.
  3. Click OK to confirm.

To remove a role from a person using the resources tree

  1. Locate the role in the group's People folder in the Resources tree.
  2. Right click the role name, and choose Remove Role From.
  3. Select the person from the pull-down list
  4. Click Remove.

To make a role inactive

  1. Go to the Roles tab.
  2. Click the role, and click Edit.
  3. Group Role window opens.
  4. Remove mark from the Active check box and click OK.
  5. Remember: If the last role is marked inactive, the person will also be marked as inactive.
